Appointments
Let customers ask for a visit, then confirm or change the time.
Customers can ask for an appointment from your contact form or your website chat. You decide which times work, and you confirm each one.
Turn on appointment requests
- Open Leads and press Appointments at the top.
- Tick Customers can ask for an appointment.
- Tap the days you take appointments.
- Pick From, To, and how long each appointment lasts.
- Press Save. The button now says "Appointments: on".
Your form now shows "I would like to book a visit". These are requests, not bookings.
Confirm or change an appointment
- In Leads, open the lead. The row shows "Wants" and a time.
- Under Appointment, press Confirm this time.
- To pick another time, change it and press Confirm.
If the customer left an email, VDM sends them a confirmation with "Add to my calendar". If not, call or text them.
Add or move an appointment yourself
- Open any lead.
- Press Set an appointment to add one, or Change to move one.
Booking from the website chat
When appointments are on and you have Visi Front Desk, the chat shows open times as buttons. In Front Desk settings, under "Booking from the chat", choose:
- "I confirm each request": the time shows in Leads for you to confirm.
- "Book right away": the time is booked, the customer gets a confirmation email, and the lead moves to Booked.
Ask for a deposit
In the Appointments settings, write a deposit in Deposit to hold a time (0 for none). When a customer books on your website or in the chat, they get a link to pay it, by email and in the chat. The money goes straight to your own Stripe, the same one as your store, so card payments must be on in Store. The lead shows Deposit waiting or Deposit paid. Nothing is cancelled by itself if it is not paid; you decide.
The day before each appointment, customers also get a reminder email. You can turn it off in Settings.
Add a booking calendar to your website
In Website Studio, use Add a section and pick Booking calendar. It shows your contact form ready for an appointment, with only your open times.
Good to know:
- Check your other appointments before you confirm a time.
- If customers see "We are closed that day. Please pick another day.", they picked a day you do not take appointments.
- If you see "Pick at least one day." or a message that To must be later than From, fix that box in the Appointments card.
